We are delighted that you wish to take part in the virtual plant tour of Volkswagen AG, Berliner Ring 2, 38440 Wolfsburg, Germany, werktour@volkswagen.de, entered in the register of companies at Braunschweig District Court under register no. HRB 100484 (“Volkswagen AG”). In the following, we will provide information on how Volkswagen AG processes the personal data which is collected in relation to your participation in the virtual plant tour.
B. Processing of your personal data
I. Invitation to the virtual plant tour, sending participation information
If you have registered of your own initiative for the virtual plant tour on our home page or ex-pressed an interest in participating in another way and submitted your personal data in this context, we will process your contact details to enable you to participate in virtual plant tour. Pro-cessing takes place to the extent necessary for the performance of the contract (Article 6 (1) (b) General Data Protection Regulation, GDPR).
II. Participation management
We process your contact details and the information as to whether you have registered for a virtual plant tour in order to create a confirmation / rejection list for the contact partners at Volkswagen AG involved and to organise / coordinate the virtual tour. In some circumstances, we may use your contact details to contact you for organisational purposes ahead of the virtual plant tour. This processing takes place to enable you to participate in the virtual plant tour. The legal basis for this is the performance of the contract (Article 6 (1) (b) GDPR).
This data will be deleted immediately after conducting all internal checking and documentation processes, but no longer than two years after performance of the virtual plant tour, unless any other retention obligations exist that require retention for a certain period (e.g. retention obligations relating to taxation) or unless there is another legal basis for further processing (e.g. if you have given consent to receiving newsletters).
III. Registration and participation
Registration and participation in the virtual plant tour will take place via a link that we will send you by email in good time before the appointment. We use the Microsoft Teams web conference solution to offer you the virtual plant tour. You can find our privacy policy for processing your personal data for registration and participation in the virtual plant tour via Microsoft Teams here.
When you call up Teams, Microsoft receives the information that you are using their service. This occurs irrespective of whether you have created a user account for the respective online service and have logged in there. If you are already logged in, Microsoft can associate the data directly with your user account. The purpose and scope of data collection and the further processing and use of the data by Microsoft, as well as your associated rights and options for terminating data processing to protect your privacy, can be found in the Microsoft Privacy Policy that you can access here.
To ensure your data is secure, Volkswagen AG has concluded an order processing contract with Microsoft Ireland Operations Limited.
Please note:
Only use the opportunity to take part actively in the virtual plant tour if you agree that other participants and Volkswagen AG can take note of your contributions. In particular, make sure that you do not unintentionally provide information that is not relevant to your participation in the virtual plant tour (e.g. recordings made unintentionally when using your webcam).
C. Your rights
You may exercise the following rights vis-à-vis Volkswagen AG at any time without cost. Fur-ther information on asserting your rights can be found in section D.
Right of access/information: You are entitled to information (Article 15 GDPR) from us relating to the processing of your personal data.
Right to rectification: You have the right to request that we rectify (Article 16 GDPR) any inaccu-rate or incomplete personal data concerning yourself.
Right to deletion: You have the right to have your data deleted if the conditions set out in Article 17 of the GDPR are met. For example, you may ask for your data to be deleted if it is no longer necessary for the purposes for which it was collected. You may also ask for your data to be erased if we process your data based on your consent and you withdraw that consent.
Right to restriction of processing: You have the right to ask for a restriction of the processing of your data if the conditions set out in Article 18 of the GDPR are met. This is the case, for example, if you dispute the accuracy of your data. You can then demand a restriction of the processing for the period it takes to verify the accuracy of the data.
